Overview

SRJ Steels needed to replace their manual attendance tracking with a system that could handle the pace of manufacturing operations - where HR and supervisors needed immediate visibility into employee attendance status without delays or disputes.

Problem

Attendance lived in CSVs and hallway conversations; HR needed visibility and compliance.

Discovery & Alignment

I observed the existing workflow: supervisors tracking attendance manually, HR reconciling data from multiple sources, and employees having questions about their status. The key insight was that attendance tools needed to provide immediate answers at the point of need - whether for HR compliance, supervisor oversight, or employee self-service.

We aligned on three priorities: real-time visibility, role-based access for different user types, and mobile-friendly views for supervisors who needed to check attendance while on the factory floor.

Solution Architecture

Role-Based Dashboard: Separate views for HR and supervisors, each showing relevant information and actions based on their responsibilities.

Real-Time Status: Present/absent/late indicators, exception lanes for anomalies, and simple exports for reporting and compliance.

Mobile-Friendly Views: Optimized interface for on-floor supervision, enabling quick attendance checks and status updates from mobile devices.

Impact

  • Faster reconciliations, fewer disputes, clearer audit trail.
  • HR gained immediate visibility into attendance patterns and exceptions.
  • Supervisors could manage attendance efficiently from the floor.

Learnings

Workforce tools must respect real-world pace - immediate answers, not perfect reports. In manufacturing environments, a quick status check that works on mobile beats a comprehensive desktop dashboard that requires planning to access.
